How do artist and sponsor allocations work?
Short answer
Invite an artist or sponsor under Team and give them a quota: a number of free spots and a number of discounted spots with their own price. They sign in, see their remaining quota and add their guests themselves; those guests receive QR tickets like everyone else and are tagged with the artist's name. You keep the overview and the door sees the tag.
Set up
- Open the event, go to Team, click Invite Team Member and choose Artist or Sponsor.
- Enter free guest spots, discount guest spots and the discount price. For artists you can also set the number of performance slots they may book in the schedule.
- Send. The artist gets an email and sees the event with their own guest section after signing in.
What the artist sees
- Their allocation quota: free spots and discount spots used and remaining.
- Their own guests only, with the option to add and remove until the quota is full ("Artist allocation full").
- Nothing else about your event: no full guest list, no emails, no settings.
What you see
- Artist guests on the guest list with the source Artist invite and the artist's name as tag; filter by it.
- Discounted artist guests pay the discount price through the normal payment page; free spots get a ticket at once.
- The door sees the tag in the scanner, so backstage or crew can be handled at a separate entrance.
Changing the quota
Click the artist on the Team page and raise or lower the spots. Lowering below the number already used does not remove guests; it only stops new additions.
Questions about this
- Can artists send invitations themselves?
- Guests they add receive the QR ticket automatically when the ticket email is switched on. Artists do not have access to the email templates.
- Can I give one artist a different price than another?
- Yes. The discount price is set per artist at invite time, for example 5 euro for the headliner's list and 15 euro for support acts.
- Is there a stage schedule?
- Yes, under the event as Artist Performance Management: define stages and time slots and let artists book their performance slots.
