How do team roles and permissions work?

Short answer

Invite people per event under Team with a role: Co-Organizer, Coordinator, Door Manager, Door Staff, Promoter, Artist or Sponsor. Each role has a set of permissions (manage guests, send invitations, edit event, view analytics, manage team, scan) that you can adjust per person. The owner can change roles and permissions or remove members at any time; removed members lose access immediately.

Roles

  • Owner: created the event; full access, billing, delete.
  • Co-Organizer: everything except billing and deleting the event. Edits the event, guests, emails, team.
  • Coordinator: guests, invitations, exports and check-in. No event or team changes.
  • Door Manager: check-in, door staff and the scanner. Sees the guest list, does not edit it.
  • Door Staff: the scanner only, through a personal link, no account.
  • Promoter: a personal registration link and their own guests and stats, optional commission.
  • Artist and Sponsor: a quota of free and discounted spots they fill themselves.

Permissions

Each role starts with defaults, and you can switch individual permissions on or off per member: manage guests, send invitations, export guests, edit event, view analytics, manage team, manage door staff, manage door, scan guests, manage artist schedule. A coordinator who may also view analytics, or a co-organizer without export rights, is one switch away.

Invite

  1. Open the event, click Team, then Invite Team Member.
  2. Enter the email, choose the role and adjust permissions. For promoters set the link slug and commission; for artists and sponsors set the spots.
  3. Send. The invitee gets an email; with an existing account the event appears at once, otherwise they sign up first and the invite attaches to the new account.

Change or remove

  • On Team, click a member to change role or permissions. Changes apply immediately, no new login needed.
  • Remove takes away access at once. Guests they added stay on the list; promoter guests keep the promoter's name for settlement.
  • Door staff are managed on the Check-in page and removed there; their link stops working immediately.

Limits

Free: no team members, door staff only. Per Event: 5 team members. Pro: 50 team members per event. Door staff do not count.

Questions about this

Can I invite someone to all my events at once?
Team membership is per event. For a colleague who works on everything, invite them to the workspace as an admin under Organization settings; they then see every event.
The invitee did not get the email.
Check the spelling and their spam folder, then resend from the Team page. If they already have an account under another address, invite that address.
Can a promoter see the whole guest list?
No. Promoters see only guests who came through their link, plus their stats.
