How to Run QR Check-In for 500+ Guests (Even Without Reliable WiFi)

The scenario you want to avoid

It is 6:40 PM. Doors open in twenty minutes. You have 650 RSVPs, three entry points, and five volunteers with their phones ready to scan. Then the venue WiFi drops.

The conference centre's network is shared across four floors, a kitchen, forty exhibitor stands, and a live-stream crew running in the next hall. At peak load, it buckles. Your check-in app shows a spinning wheel. Guests start queuing at the main entrance, spilling into the lobby, blocking the fire exit.

This is not hypothetical. It happens at conference centres, marquees, large hotel ballrooms, and outdoor venues regularly. Most event check-in systems assume a stable internet connection. When that assumption fails, the whole system fails with it.

Here is how to set up a check-in system that does not make that assumption.

What a large-event check-in system actually needs to do

When you have 500 or more guests and multiple entry points, your check-in system needs to do four things reliably:

Setting up three scanner devices for three doors

Here is the exact setup for a 600-person event with a main entrance, a VIP entrance, and a workshop-room access point.

Before the event:

Adding walk-in guests at the door

For a 600-person event, expect between 3% and 8% walk-ins — guests who RSVP'd directly by phone or email, or who were added to the list that morning after registration closed.

  • Test-scan one QR code to confirm it reads correctly
  • Confirm walk-in workflow: staff adds a test guest and checks them in

At doors-open:

  • All devices are online and synced
  • VIP door filter is active if applicable
  • Venue WiFi credentials shared with staff in case manual reconnect is needed mid-event
