What do the guest statuses mean?

Short answer

Each guest has three independent statuses: the RSVP (Pending, Attending, Not attending), the last email status (not sent, queued, sent, delivered, opened, failed) and the check-in (checked in or not). Paid events add a payment status, and events with approval add Pending approval or Approved. The filter chips above the list use these.

RSVP status

  • Pending: no answer yet. The RSVP reminder automation targets these guests.
  • Attending: said yes, or registered through the public page. They receive the QR ticket.
  • Not attending: declined. They stay on the list for your records and get no reminders.

Email status (Last email column)

  • Not sent: nothing has gone out yet.
  • Queued and Sending: in the queue; usually seconds.
  • Sent: handed to the mail servers. Delivered and Opened follow when the default sender is used.
  • Failed or Bounced: did not arrive. A banner explains why and Fix address opens the guest.

Check-in

Checked in shows a green marker and the time. Manual check-ins and scanned ones are both counted; the method is visible on the Check-in page.

Approval and payment

  • Pending approval and Approved: on events with manual approval.
  • Paid, Unpaid, Free: on paid events, per guest.

Questions about this

A guest is Attending but never got a ticket. Why?
Check the Last email column. Not sent means the QR email was not sent yet (the switch Send this email automatically may be off); Failed or Bounced means the address needs a fix.
Can I change a status by hand?
Yes. Edit the guest to change the RSVP, check them in from the row menu, and approve or reject from the approval filter.
What is No show?
There is no separate status. Guests who were Attending and were not checked in are your no-shows; the Analytics page counts them as attendance rate.
