How do I customize the emails guests receive?

Short answer

Go to Emails in your event. Every email the platform sends (invitation, QR ticket, reminder, confirmation, approval, thank you) has a template with subject, greeting, text, button and optional details. Edit per language, use variables like {{guestName}}, send yourself a test, and save. Changes apply to emails sent from then on.

The templates

  • Invitation: sent when you click Send Invitations; carries the RSVP link.
  • QR ticket: sent when a guest confirms, registers or is approved, if the automatic switch is on.
  • Registration received and Approved / Not approved: for public registration with approval.
  • RSVP reminder, Event reminder, Thank you: the automations, with their own schedule.
  • Companion emails: companions with an email get their own ticket using the same QR template.

Edit a template

  1. Open the event, click Emails, then Edit on a template.
  2. Change subject, greeting, text and button label. Use Insert variable for {{guestName}}, {{eventName}}, {{eventDate}}, {{eventLocation}}.
  3. Toggle the event details block and Show event description if you do not want date, location or description repeated.
  4. Switch language with the flag buttons and write the other languages, or leave them on the standard text.
  5. Click Send me a test, check it on your phone, and save.

Line breaks, links and formatting

Blank lines become paragraphs. URLs become clickable automatically. Bold, images and HTML are not supported in the body; the flyer at the top is the visual element.

Sender

By default emails come from GuestlistOnline with your name and reply to your address. Paid plans can send from your own domain through SMTP or Microsoft 365, set under Emails, Sender settings.

Questions about this

Can I change an email after I sent it?
No. Sent emails are fixed. Edit the template and resend to the guests who need the new version.
Do I need to write every language?
No. The standard text exists in all seven languages. Guests in a language you did not fill in receive the standard text with your event details.
Can I attach a PDF?
Not as an attachment. Put a link to the file in the text; links become clickable. The QR ticket is always embedded in the email itself.
