How do I use the scanner app at the door?

Short answer

The scanner is a web app at scanner.guestlistonline.com; nothing to install. Team members sign in with their account, door staff open the personal access link you sent them. Point the camera at a guest's QR code and the guest is checked in with a green confirmation; search by name for guests without a code. It works on any phone and keeps working offline.

Open the scanner

  • Team members (owner, co-organizer, coordinator, door manager): go to scanner.guestlistonline.com, sign in, pick the event.
  • Door staff: invite them under Check-in with a name and email. They get a personal link that opens the scanner for this event only, no account needed.
  • Add the page to the home screen for a full-screen, app-like scanner.

Scan

  1. Tap Scan and allow the camera.
  2. Hold the phone over the QR code on the guest's screen or printout. Recognition takes a second.
  3. Green: checked in, with name, tags and companions. Yellow: already checked in, with the time. Red: not found or not valid for this event.
  4. For companions, the main guest's code shows the party; check in everyone or only those present. With strict scanning on, every person scans their own code.

Search

Tap Search and type a name, email or phone number. Tap the guest to check them in. Use this for guests without a phone, printouts left at home, or list-only guests without an email.

What the door sees

Name, RSVP status, tags such as VIP, notes you left for the door, companions and whether the ticket was paid. Door staff see this event only and cannot edit guests.

Live overview

The Check-in page in your account shows arrivals in real time, per staff member and method, and the check-in rate against attending guests.

Questions about this

Do I need to download an app from the store?
No. The scanner is a web app that runs in the browser on iPhone and Android. Add it to the home screen if you want an icon.
Can several people scan at the same time?
Yes, as many as you like. Check-ins sync between devices within seconds, so two doors never admit the same code twice.
Can guests show a screenshot of the QR code?
Yes. The code is the same whether it is opened in the email, a screenshot or a printout.
