How does QR code check-in work at the door?

Short answer

Every confirmed guest gets a personal QR code by email. At the door, your team opens the scanner app on any phone, scans the code, and the guest is checked in instantly. Each code works once, and check-ins sync live to your dashboard and to every other scanner.

Before the event

  1. Guests confirm or register and receive their QR ticket email. You can resend it from the guest list at any time.
  2. On the event's Check-in page, add your door staff under Door Staff. They receive an email with access to the scanner.
  3. Optionally switch on Strict scanning if every person must scan their own code.

At the door

  1. Door staff open scanner.guestlistonline.com on a phone or tablet and sign in. Add it to the home screen for a full-screen app.
  2. Point the camera at the guest's QR code. A green screen means checked in; the guest's name and any companions are shown.
  3. If the code was used before, the scanner says so and shows when and by whom the guest was admitted.
  4. No code? Search the guest by name and check them in manually.

Offline and multiple doors

The scanner downloads the guest list to the device, so scanning and name search keep working without signal. Check-ins are queued and sync as soon as the connection is back. Several doors and staff can scan at the same time and see the same live list.

After the event

The Check-in page shows who arrived, when and by which staff member. Analytics shows the check-in timeline, and you can export the attendance list.

Can guests show the QR code on paper?
Yes. A printed code scans the same as one on a phone screen.
What if a guest never received the email?
Search the guest by name in the scanner and check them in manually, or resend the QR email from the Guests page.
